How to guide

Taskinova® is a unique software application for DILO (Day In the Life Of) work studies. It provides valuable insights for analysing and improving operational processes. To ensure that work-studies are effective and efficient, you should follow some best practices:

Select the right participants
  • To avoid repeating the work-study, choose participants who are directly involved in the process you are studying.

  • They should have a deep understanding of their daily tasks and responsibilities, be willing to contribute to the successful completion of the work-study and want to share their ideas to improve how they and their colleague’s work.

Plan and schedule
  • To ensure the work-study accurately meets the specific objectives and goals set out, good planning is recommended.

   

  • Planning: Design the work-study using short sessions, where a sample of operators use Taskinova to develop the work-study rules and recording methods.  

  • Scheduling: Define a time that represents a typical workday work shift or task type. Ensure that participants are available and prepared for the study.

Use a structured approach
  • Develop a structured digital format for recording observations and data during the study. Use Taskinova to add tags and comments to tasks.

 

  • Use Taskinova’s innovation methodology, the 5Rs, to stimulate ideas and recommend ideas for improvement.

Train participants

Train participants on how to use Taskinova to document their activities and observations accurately and consistently. Provide clear guidelines on what to record and how to do it.

Be non-intrusive

Encourage participants to act as naturally as possible during the study. Avoid interfering with their work, as this can distort the results.

Capture time data
  • Record the time spent on each activity and task. This is essential for understanding where inefficiencies may exist. 

  • Set rules on how to record to ensure consistency of results.

Analyse the data
  • After the study, carefully analyse the data collected to identify opportunities for improvement.

  • Share analysis, findings and recommendations with managers and colleagues to stimulate communication, feedback, and innovation.

Clearly define objectives
  • Start by defining the specific objectives and goals you want to achieve with the DILO study. Be clear about what you are trying to understand or improve. 

  • Ensure objectives are Specific, Measurable, Achievable, Relevant, and Timebound. (SMART). 

 

  • If the work-study is your first, start small using one or two people to help you design and test the study process, recording rules and methods.

  • Taskinova™ is flexible. It can be used to record tasks over any date range or simply for recording specific tasks or groups of sub-tasks.

Continuously monitor the progress of the implemented changes and measure the impact on productivity, efficiency, and other relevant metrics.

Communicate findings

Share the findings and action plans with relevant stakeholders and ensure transparency in the process.

Iterate and improve

Taskinova® work studies should be an ongoing process. Continuously refine your approach based on feedback and results and repeat the study periodically to track progress.
